This Privacy Policy explains how Flubr Ltd, trading as GlowSpark (company number 17288974)(“we”, “us”), collects and uses your personal data when you use glowspark.co.uk or book a clean. We are the data controller for that personal data. We handle your data in accordance with the UK GDPR and the Data Protection Act 2018. Cleaning services are arranged by Portmund Logistics Ltd (company number 17201469).
1. Data we collect
- Account & contact details: name, email, phone number and password (stored only as a secure hash).
- Booking details: service address, access and parking notes, property details, pets, and the notes you add.
- Payment data: processed by Stripe. We receive confirmation of payment and limited details (such as card brand and last four digits); we do not store full card numbers.
- Cleaner-related data: for cleaners, we also process identity, right-to-work, payment and location data. Location is collected during an active cleaning job to confirm arrival and support the cleaner while they work; it stops when the job ends and is never collected outside an active job. Location data is retained for up to 45 days.
- Leaflet distributor data: for leaflet distributors, we process contact, application, bank and payment details, and location data. When: location is recorded only while a leaflet round is in progress, from when the distributor taps Start or Resume until they tap Pause or Finish. It is recorded in the GlowSpark Pro app or on the website, and in the Pro app it continues while the phone is locked if the distributor has allowed background location. Recording stops when the round is paused or finished, and our systems refuse locations sent for a paused round. Nothing is recorded outside a round, so a distributor is not tracked when they are off duty. If the phone has no signal, locations are held on the phone and sent when signal returns; locations recorded during the round are still accepted for up to 15 minutes after Finish so they are not lost.Why: to show the distributor their progress on the round they were assigned, to let the office see a round live while it is in progress, to check which streets were covered before a round is reviewed, approved and paid, to contact the distributor if a round in progress stops sending locations, and as a record if the delivery or payment of a round is later questioned. During review the office compares the route with the streets assigned and may ask the distributor about a round before approving it.How long:individual location points are deleted automatically after 120 days. The start and finish points of each round, and the review outcome, are kept with that round’s record because they support payment records.Who: location data is available only to GlowSpark staff who manage, review or pay leaflet rounds, and to the distributor for their own rounds. It is never shown to customers or cleaners.
- If you apply to work with us: the first screen of an application asks for your mobile number and your email address, and we record both as soon as you enter them, before you have an account and before you finish. We do this so that if you stop partway we can ring you and ask whether something was unclear or went wrong. If you go on with the application we also process the details it asks for, which depend on the job and are listed on the form itself.How long: if you never finish and never create an account with us, we delete your number and email 12 months after you started. You can ask us to delete them sooner, or to stop contacting you, at any time by emailing [email protected], and we will not ring you again.
- If you call at doors for us: a Field Sales Ambassador carries a digital ID in the GlowSpark app showing their photograph, the name they work under and a code. Anybody they call on can enter that code on our website and see the same photograph, name and job title, so they can satisfy themselves about who is at their door. Nothing else about the ambassador is shown: no address, no phone number, no email. The page is not listed in search engines. The ID stops working the moment somebody is no longer working for us, and a withdrawn code is answered exactly like a code we have never seen.
- Photos: job photos uploaded by cleaners, and any room photos you upload to our optional preview tool.
- Technical data: IP address, device and usage information, and cookies necessary to run the site.
2. How we use your data and our lawful bases
- To provide the service (create your account, arrange and manage cleans, take payment) — performance of a contract.
- To communicate with you about bookings, confirmations, reminders and receipts — performance of a contract.
- To support, secure and improve the service, prevent fraud and enforce our terms — our legitimate interests.
- To contact you about an application to work with us,including asking why an application was not finished — our legitimate interests in recruiting people and in improving how we recruit. You can object at any time and we will stop.
- Marketing (only where you have opted in) — consent, which you may withdraw at any time.
- To meet legal obligations (for example accounting and tax) — legal obligation.
3. Who we share data with
- Cleaners assigned to your booking receive the details needed to carry out the clean (name, address, access notes and contact where necessary).
- Stripe, our payment processor, to take and reconcile payments.
- Our email/SMS provider, to send transactional messages.
- Hosting and IT providers that operate our infrastructure.
- Authorities or advisers where required by law or to establish, exercise or defend legal claims.
We do not sell your personal data.
4. International transfers
Some providers (such as Stripe) may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement/Addendum.
5. Data retention
We keep booking and account data for as long as your account is active and then as needed for our legitimate business and legal purposes. Financial records are typically kept for six years to meet UK tax and accounting requirements. Job and preview photos are retained only as long as needed for the service and dispute resolution. Where somebody started an application, never finished it and never created an account, the mobile number and email address taken on the first screen are deleted automatically 12 months after they were given.
6. Your rights
Under UK data protection law you have the right to:
- access a copy of your personal data;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to certain processing;
- data portability; and
- withdraw consent at any time where processing is based on consent.

7. Cookies
We use cookies that are strictly necessary to run the site, such as keeping you signed in and remembering your postcode. We do not use non-essential tracking cookies without your consent.
If you agree, we also use advertising cookies from Google to measure which adverts bring people to GlowSpark. When you arrive from one of our adverts, Google adds a click identifier to the web address. With your consent we store that identifier for up to 90 days and attach it to any booking you make, so we can tell which advertising is worth paying for. It tells us that a booking came from a particular advert. It does not tell us anything else about you, and we do not use it to build a profile.
You can say no, and everything on the site works exactly the same. If you change your mind, clear the cookies for this site in your browser and we will ask again. Choosing “only what is needed” also deletes any advertising identifier we had already stored.
8. Security
We use appropriate technical and organisational measures to protect your data, including encryption in transit, hashed passwords, access controls, and private, access-controlled storage of uploaded photos.
9. Children
Our service is intended for adults; we do not knowingly collect data from children under 18.
